Executive Assistant

Are you an organizational powerhouse with a sharp eye for detail and the ability to stay calm in the chaos? We're looking for a dynamic, proactive, and highly experienced Executive Assistant to support our CEO — and, when needed, provide agile support to other members of our leadership team.
In this key role, you'll be the right hand to our executive leadership—anticipating needs, solving problems before they arise, and keeping things running smoothly behind the scenes. If you're adaptable, fast-thinking, and thrive in a fast-paced environment, this might just be your next big move.
What you'll do:
- Provide high-level administrative support to the CEO, and offer assistance to other managers as needed.
- Manage calendars, schedule meetings, and coordinate travel.
- Prepare reports, presentations, and correspondence.
- Act as a coordinator between the CEO and internal/external stakeholders.
- Maintain confidentiality and handle sensitive information with discretion.
- Support special projects and company-wide initiatives.
- Be available for occasional flexible working hours, depending on business needs.
What we're looking for:
- Previous experience as an Executive Assistant, Personal Assistant, or in a comparable senior administrative role.
- A degree in higher education, a vocational qualification, or education in a relevant field.
- Fluency in both spoken and written Estonian and English is essential. Proficiency in Russian is considered a plus.
- Excellent communication, time management, and interpersonal skills.
- A problem-solver mindset and the ability to work independently.
- Strong digital literacy and familiarity with modern office tools.
- A proactive attitude, with the ability to stay two steps ahead.
